How To Launch A White-Label UCaaS Service: A Practical Checklist

A step-by-step checklist for ISPs, MSPs and resellers launching cloud PBX and contact centre under their own brand: platform, carriers, pricing and support.

White-label UCaaS lets a provider sell cloud phone systems, contact centre and softphone apps under its own name, without writing the software. The provider owns the customer, the price and the support; the platform does the telephony. Launching well is mostly about decisions made before the first customer signs. This checklist covers them in the order they usually come up.

1. Decide Who You Are Selling To

Small offices want a phone system that works on day one with apps on every phone. Contact centres want queues, supervisors and reporting. Regulated customers care about where data lives. Your target customers decide which modules you need, where the platform runs and how you price it.

2. Choose Hosted Or Self-Hosted

A hosted platform gets you live fastest: the vendor runs the servers, upgrades and certificates, and you run the business. A self-hosted platform on your own servers keeps data in-country and lets you use your own domain, at the cost of operating it. A platform that offers both, with the same software, lets you start hosted and move later.

3. Put Your Brand On It

Check exactly where your brand appears: the provider console, each customer portal, emails, and the apps on users' phones. Ask which of these are branded out of the box and which need a separate agreement, such as branded mobile apps.

4. Connect Carriers And Numbers

Bring the SIP trunks and number ranges you already buy, or buy new ones. Decide whether trunks are shared across customers or assigned per customer, and check that the platform supports both registered and IP-authenticated trunks. In markets where SIP termination is costly, GSM lines through gateways can carry local calls.

5. Build Your Price List

Most providers sell per seat per month, with numbers and minutes charged on top. Before you publish prices, set up rating plans for calls, prepaid wallets for customers who pay in advance, and fraud limits that stop runaway international calling before it costs you.

6. Make Provisioning Fast

Time from order to first call matters. A good flow is: create the customer workspace, pick its licence, assign numbers, and send users a QR code that signs their app in. If you sell online, the same steps should be reachable through an API so orders can provision themselves.

7. Prepare Support

Most support tickets are a variation of "my call went somewhere unexpected". Make sure your team has:

  • A call-flow tester that shows which route a number will take
  • Call tracing for a specific call, step by step
  • An audit log of who changed what, and when
  • Clear separation between what your team can change and what each customer administrator can change

8. Run A Real Trial

Set up a complete customer, numbers and apps on a trial platform, and live on it for a few weeks. It is the fastest way to find gaps in your offer before customers do.
